Could you be our next Secretary?

This is a key role within our organisation which will enable you to both demonstrate and hone your administrative and organisational skills, whilst enabling you to do a great service for our community. Our former secretary is remaining on the comms team and will be available to offer you support and training to enable you to settle into the role.

Our ideal Secretary:

  • High level of interpersonal skills, able to communicate effectively with a wide range of people from diverse backgrounds, able to assert oneself confidently and tactfully

  • Demonstrated administrative skills

  • Demonstrated organisational skills with a systematic and methodical approach

  • Demonstrated ability to work effectively under fluctuating levels of pressure

  • People skills that show a good working relationship in a multi-disciplinary team

  • Working knowledge of Email, Google Drive, Google Docs will be ideal, or a strong willingness / ability to learn.

  • Executive Committee

  • QLDC and related authorities

  • Media

  • Utilities

  • Community Organisations and Representatives

  • Local Service Providers

Overall objective of the Hāwea Community Association:

The HCA committee works hard to uphold community interests by:

  • Promoting the wellbeing and sustainable development of the Hāwea district.

  • Actively foster values and actions consistent with a cohesive, nurturing community.

  • Working towards safeguarding the interests of residents and ratepayers.

  • Representing members in dealing with national and local authorities, corporations, companies, organisations and individuals.

  • Improving and beautifying the environs of Hāwea.

Expected hours per month:

  • 15-25 hours per month

Secretary duties:

  • Participate on a rotating roster to ensure incoming, external communications are picked up and distributed appropriately.

  • Ensure meetings are effectively organised and minuted

  • Plan committee meetings (working with the Chairperson to determine the agenda etc.)

  • Ensure supporting documents for the agenda are provided for committee members.

  • Maintain effective records and administration

  • Uphold the legal requirements of governing documents, (where relevant e.g. constitution).

  • Communication and correspondence

Governance:

  • Uphold the legal requirements of governing documents, constitution (where relevant).

  • Log all communication and correspondence

  • Ensure that meetings and decisions are accurately recorded.

Communication:

  • Ensure correspondence is followed up

  • Agree external comms with the committee and the Comms team to ensure the communications strategy is clear both internally and externally and, well executed.


Could you be our next Assistant Secretary?

This is another key administrative position. You will work closely with the new Secretary gaining / demonstrating administrative and organisational skills while doing a great service for our community.

Our Ideal Assistant Secretary:

  • Has similar skills and attributes to the secretary. The Secretary and Assistant Secretary may balance and support each other in their knowledge and level of technical skills.

Reports to:

  • HCA Executive Committee

Functional Relationships:

  • As per Secretary

Expected hours per month:

  • 10-20 hours per month

Assistant Secretary Duties, Governance and Communication:

  • Assist the secretary in their duties outlined above
